What Information Is Required for a Quotation?

A useful quotation starts with a usable operating brief. To prepare a meaningful quotation, a supplier needs more than the product name and an annual quantity. The aim is a quotation that you can compare, test, and implement—not simply a price with a machine label.

The Minimum Enquiry Set

Provide these six information groups with your enquiry:

  1. Coil and Package: Provide inner diameter, outer diameter, width, mass, the full operating range, coil orientation, support method, surface condition, and photos or drawings. State what the package must achieve and what surfaces must remain accessible.
  2. Material Flow and Layout: Describe where the coil comes from, how it is loaded, what equipment is already present, and where it goes next. Include a current layout, elevations where relevant, available space, and the incoming/outgoing orientation. If a conveyor interface is expected, say so at the start.
  3. Required Output and Validation: State the required output definition—not only "fast" or "automatic." Specify the product mix, timing boundary, operator actions included, and how capacity will be verified. Ask for a proposed factory or site acceptance approach when it matters to the purchase decision.
  4. Packaging Material and Quality Expectations: List candidate packaging materials, any buyer or customer specification, labels, edge protection, strapping, palletization, and surface-quality constraints. A generic material category is not enough to prove a protection result; provide the route and acceptance conditions where known.
  5. Site, Utilities, and Responsibilities: Include available power and other utilities, local requirements that apply to the site, installation constraints, preferred language and units, and who owns civil work, installation, controls interface, guarding review, training, commissioning, and acceptance.
  6. Commercial Comparison Boundary: Ask each bidder to state the equipment configuration, exclusions, optional items, delivery basis, warranty terms, documentation, spares, installation/commissioning scope, training, and quotation validity. Compare like with like; a lower price may simply have a narrower scope.
From enquiry to implementation: a quotation becomes implementable when scope, assumptions, and acceptance are written down.

Mark Unknowns and Assumptions Visibly

An RFQ can be complete enough to start before every detail is known. Put open items in a dedicated list with an owner and date for confirmation. Ask the supplier to list assumptions beside the quoted scope. That gives both sides a controlled way to revise the proposal as the project becomes clearer.

Pre-Send Checklist

Before sending, confirm that your request answers these questions:

  • What coil range and support condition must be handled?
  • What package outcome is required, and what is still to be tested?
  • How does the coil enter and leave the station?
  • What output will be accepted, under what test definition?
  • What is included, excluded, and still assumed?
  • Who will approve the technical and commercial scope?

Send the completed operating brief with drawings and photos, then ask the supplier to return a configuration, assumptions list, interface list, and acceptance-test proposal—not only a price.
